MAITS is looking for a part-time Project Assistant

MAITS Project Assistant (Fixed term two-year contract) at MAITS London Office

Reporting to: MAITS CEO

Part-time: required 18.75 (0.5 FTE) hours per week

Salary: £11,000 per annum (FTE £22,000.00)

MAITS PROFILE

MAITS is an international disability charity whose mission is to improve the lives of some of the world’s poorest people living with disabilities, through better access to and quality of health and education services and support. MAITS specifically supports people with developmental disabilities such as cerebral palsy, autism and learning disabilities in low-resource countries.

We do this through a very small staff team, training consultants and a team of qualified volunteers from all over the world, who are experienced healthcare and education professionals. Our volunteers provide training and support to those caring for and providing health and education services to individuals with disabilities in community or institutional settings.  We also have a small grants programme which enables training to take place in any location where there is a need globally. The aim is to enable individuals to reach their full potential, with improved health, well-being and quality of life through access to family support, quality healthcare and education.

JOB PROFILE

This position is to support the CEO and Finance & Operations Manager to manage MAITS projects and grants. We have a small team with very diverse backgrounds but mutual interest in the development sector. Our team is always ready to go an extra mile to make best possible use of the available resources to support the MAITS vision. A person with similar focus and enthusiasm will be most suitable for the role. This position offers flexible working hours across the week and a friendly and dynamic working environment.

JOB RESPONSIBILITIES

RECRUITMENT OF TRAINERS AND ORGANISATIONS 

  • Add new registrants to database
  • Maintain database of registrants
  • Support the process of trainers’ registration

COMMUNICATIONS

  • Keep website and Facebook up-to-date (load news items, new links, ‘events’ etc)
  • Summarise website activity into monthly report (new registrations, what ‘type’, resource downloads, requests for trainers and no. of requests met, forum posts, general traffic through the website)
  • Amend online forms and add new documents/materials to the website, as required
  • Assist organisations in posting up adverts for trainers
  • Monitor adverts (training requests) being met. Contact organisations who have posted adverts to see if request has been met and if not, send out reminder email to mailing list (record matches made)
  • Communicate with trainers and host organisations regarding queries, requests etc

TRAINING GRANTS

  • Review grant application forms and ensure all desired information has been collected
  • Communicate with applicants regarding outcome of assessment & send handbook information & any reports from previous trips to that organisation
  • Ensure all trainers due diligence is conducted and all documents are filed
  • Communicate with trainers after trip to ensure report, feedback and materials submitted to MAITS
  • Collate and analyse all trips feedback data
  • Collate materials developed and catalogue onto materials database
  • Summarise trips for News section of website
  • Devise individualised 6-month review questionnaire and send to organisation and collate data
  • Maintain trips database
  • Ensure grant reimbursements are made

ADMIN, MARKETING & FUNDRAISING

  • Send mailouts: invitations, requests for feedback and notices to relevant mailing lists, notice of new resources added to website
  • Organise and advertise MAITS training events
  • Contribute to the development, design and dissemination of the Annual Report and other occasional reports
  • Carry out sourcing for equipment acquisitions, printing, events hosting etc. and arrange
  • Maintain all MAITS files and folders in good order

MARKETING

  • Add to website: interviews / featured articles monthly / summary of MAITS trainings
  • Maintain MAITS mailing list
  • Write quarterly newsletter
  • Assist with updating marketing materials
  • Prepare materials for presentations about MAITS by other team members and assist in the design and production of resources to be published by MAITS (including e-learning tool introducing MAITS and cross-cultural working)
  • Assist in design of other materials e.g. events invitations

FUNDRAISING

  • Support in identify suitable donors to approach
  • Support the CEO to write funding proposals
  • Help organising fund-raising activities
  • Report to funders

PERSON SPECIFICATION

  • Experience of working in the UK charitable sector
  • Qualified to degree level
  • Comfortable in writing reports and presenting
  • Comfortable in communicating with people from different geographical background
  • Strong administrative skills
  • Experience of organising logistics and maintaining track of events
  • Proficient in using MS Office Suite
